What we collect and why
We collect only what you send us through the contact form on this website: your name, email address, and optionally your company, phone number, and the content of your message. If you request a quote for a trade fair, we also record which fair you asked about.
We use this data solely to answer your enquiry and, where relevant, to prepare and send you an offer. We do not use it for marketing unless you ask us to, and we do not sell or share it with third parties.
Legal basis
We process this data on the basis of our legitimate interest in responding to enquiries addressed to us (Article 6(1)(f) GDPR), and — where your enquiry concerns a possible engagement — in order to take steps at your request prior to entering into a contract (Article 6(1)(b) GDPR).
How long we keep it
Enquiries are kept for 24 months from the date of your last contact with us, after which they are deleted. You can ask us to delete your enquiry sooner at any time, and we will do so unless we are legally required to keep it. Where an enquiry leads to a contract, the related records are kept for as long as Polish accounting and tax law requires.
Who else sees it
Your enquiry is stored on servers operated by City Online Services Limited, Hyderabad, India. Email notifications are delivered through Resend (Resend, Inc., United States). Both act as processors on our behalf and are bound by contract to protect your data.
Transfers outside the European Economic Area
Because our hosting is in India and our email provider is in the United States, handling your enquiry involves transferring personal data outside the EEA. Neither country is covered by a European Commission adequacy decision, so these transfers rely on appropriate safeguards under Article 46 GDPR — specifically the Standard Contractual Clauses adopted by the European Commission (Implementing Decision (EU) 2021/914), incorporated into our data processing agreements with each provider.
These are supported by technical measures on our side, including encryption of personal data at rest and in transit, with encryption keys held solely by us.

Your rights
Under the GDPR you have the right to access your data, correct it, request its deletion, restrict or object to its processing, and receive it in a portable format. To exercise any of these, contact us at the address above.
You also have the right to lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00-193 Warszawa.
